Back Office Operations Analyst

Job Description

Job Overview: We are looking for a motivated and detail-oriented Back-Office Operations Analyst to join our multi-family office. This role is suitable for an individual with 2-5 years of experience in financial services, preferably with basic knowledge of investment products (e.g., equities, bonds, funds, private equity). The candidate will play a key role in supporting the daily operations of our clients' investment portfolios and ensuring accurate and timely processing of investment-related activities.

Key Responsibilities: 1. Trade Lifecycle Management Process and monitor trade instructions across asset classes (equities, fixed income, funds, alternatives)

Ensure timely and accurate trade capture, settlement, and booking

Liaise with custodians, brokers, and internal teams to resolve trade discrepancies

2. Capital Calls and Distributions Track and process capital calls and distributions for private market investments

Coordinate with investment teams and custodians to ensure proper fund flow and documentation

3. Investment Reference Data Management Maintain and update security master data including pricing, identifiers (ISIN, SEDOL), asset classification, and counterparty details

Validate and reconcile investment data across systems and sources

4. Cash and Position Reconciliations Perform daily and monthly cash and holdings reconciliations with custodians and counterparties

Investigate and resolve reconciliation breaks in a timely manner

5. Performance Measurement and Reporting Support the generation and validation of performance reports for client portfolios

Ensure accuracy of return calculations and attribution metrics

Assist with preparation of client presentations and investment reviews

6. Annual Accounts Filing Support Collaborate with Finance and external auditors to support annual financial reporting for trusts, entities, or funds

Provide necessary transaction data, valuations, and reconciliations as required

7. Process Improvement Identify inefficiencies or manual processes and suggest/implement improvements

Assist in automation, documentation, and testing of new operational workflows and tools

Requirements: Bachelor's degree in Finance, Accounting, Business, or related field

Individuals with 2 to 5 years of experience in financial services.

Good understanding of investment products and financial instruments

High level of accuracy and attention to detail

Strong time management and organizational skills

Ability to prioritize tasks in a deadline-driven environment

Proficiency in Microsoft Excel experience with portfolio management systems is a plus

Good communication and interpersonal skills
