Admin Project Coordinator

Job Description

About the Role

We are seeking a dedicated, full-time Project Admin Coordinator to ensure the seamless execution of our construction and contracting projects. In this role, you will be the backbone of our project operations, keeping documentation organized and communication flowing between our site teams and external partners.

Work Schedule:

5.5 days per week (Alternate Saturdays, subject to Team Lead approval)

Key Responsibilities

Project Coordination:

Manage administrative workflows for multiple ongoing construction and contracting projects.

Documentation & Records:

Prepare, update, and maintain comprehensive project records, including progress reports, meeting minutes, schedules, permits, and compliance documents.

Stakeholder Liaison:

Act as a central point of contact for project managers, site supervisors, and external contractors to ensure clear and timely updates.

Meeting & Site Logistics:

Organize project meetings, site visits, and inspections; coordinate logistics for site equipment, materials, and personnel scheduling.

Financial Admin:

Assist with budget tracking and administrative cost management for assigned projects.

Problem Solving:

Proactively flag and resolve administrative bottlenecks to keep project timelines on track.

What We’re Looking For

Industry Experience:

Proven track record as an Admin Assistant or Coordinator within the

construction or contracting industry .

Technical Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with project management software is a plus.

Communication:

Excellent written and verbal English communication skills (multilingual capabilities are an advantage).

Core Competencies:

Outstanding organizational skills, sharp attention to detail, and the ability to multitask in a fast-paced environment.

Knowledge:

Familiarity with construction workflows, safety regulations, and industry compliance.

Education:

Diploma or equivalent in Business Administration, Office Management, or a related field preferred.
