Job Summary

Our client is looking for a

detail-oriented and customer-focused Admin Assistant

to support the day-to-day operations of its growing healthcare and diagnostics business.

The role will provide support across

clinic onboarding, customer enquiries, order administration, report processing, data entry and operational coordination

. The successful candidate will work closely with clinics, customers and internal teams to ensure smooth and timely delivery of services.

Candidates with a

medical, clinical, healthcare, diagnostics or life sciences background

will have an added advantage.

Key Responsibilities

Customer & Clinic Support

Respond to and resolve routine clinic and customer enquiries relating to orders, the AgeQ portal, reports and other operational matters within agreed response timelines.

Provide clear and timely assistance to clinics and customers, escalating more complex issues to the relevant internal teams where required.

Maintain accurate records of enquiries and follow-ups.

Clinic Onboarding

Support the operational onboarding of new clinics, including account setup and portal guidance.

Coordinate training and onboarding activities with clinics and internal stakeholders.

Follow up with clinics to ensure they are ready to begin using the service.

Maintain accurate onboarding status and documentation.

Order Administration

Manage routine order administration and operational checks.

Ensure orders are complete, accurate and progressing as expected.

Identify issues or discrepancies promptly and coordinate their resolution or escalation.

Follow established SOPs and processes when handling orders.

Report Support

Support manual report generation and quality checks when required.

Ensure reports are processed accurately and delivered within the required timelines.

Follow established SOPs and escalation processes when issues are identified.

Data Entry & Operational Support

Perform manual data entry and other administrative activities as required.

Maintain accurate and up-to-date operational records.

Support the transition of manually managed processes while system integrations are being developed.

Assist with other day-to-day operational activities to ensure smooth business operations.

Tracking & Documentation

Maintain accurate records of customer enquiries, clinic onboarding status, orders, reports and operational issues.

Track outstanding actions and ensure timely follow-ups are completed.

Ensure relevant activities and issues are properly documented.

Process Standardisation

Assist in documenting and standardising recurring workflows, SOPs and operational processes.

Identify opportunities to improve administrative and operational efficiency.

Support process improvements as the business scales.

Cross-functional Coordination

Work closely with internal teams and relevant stakeholders to coordinate customer support, clinic onboarding, order fulfilment, reporting and issue resolution.

Follow up with stakeholders to ensure tasks are completed within the required timelines.

Business Support

Provide ad hoc administrative and operational support as required.

Assist with other activities that support the growth and smooth running of the business.

Requirements

Diploma or equivalent qualification preferred.

Prior experience in

administration, customer service, clinic operations, healthcare operations or coordination

is an advantage.

Candidates with a medical, clinical, healthcare, diagnostics, laboratory or life sciences background will have an added advantage.

Strong attention to detail and accuracy, particularly when handling orders, reports and customer information.

Good organisational and time-management skills.

Comfortable performing data entry and working with operational trackers.

Good written and verbal communication skills.

Proficient in Microsoft Office, particularly Excel and Word.

Comfortable communicating with clinics, customers and internal stakeholders.

Able to follow SOPs and established processes while also identifying opportunities for improvement.

Proactive, dependable and able to work independently in a fast-paced environment.

Able to commit to the full

3-month contract period

.

Ideal Candidate The ideal candidate would be someone who is

organised, customer-oriented and comfortable working in a healthcare or diagnostics environment

. Experience dealing with clinics, patients/customers, medical administration, laboratory operations or healthcare services would be highly relevant.

Candidates who are

immediately available or on a short notice period

would be preferred.
